Successful project delivery starts with clear decisions, consistent reporting, and documented processes. Weak planning, poor communication, and inconsistent governance are common causes of delays and cost overruns.

Between gathering data, accommodating the needs of every stakeholder, formatting, and getting the document distributed on time, project reports are often a time-consuming task.

However, there is no denying the value of strong processes both as a means of controlling your project and improving team communication. If you want to make your projects more successful, try to avoid these common mistakes.

1. Poor Stakeholder Communication and Engagement

Good stakeholder engagement is fundamental to a successful project, and poor stakeholder communication is a frequent cause of failure. This goes beyond report content. It starts with securing stakeholder buy-in from the beginning and consistently managing expectations throughout the project lifecycle.

Project teams and stakeholders are busy people who are unlikely to appreciate anything that wastes their time. Before creating a report, take a step back to consider what information your audience needs to support your project.

Use and Update the Communication Plan

Ideally, the communication preferences of each audience were documented during the project planning phase. Refer to the communication plan to identify key factors such as the frequency or format of a report. If the plan doesn’t exist – just ask!

Check Relevance

As the project progresses, remember to check in with report recipients periodically to make sure the information, format, and frequency are still useful to them. Taking time to accommodate these preferences will make your report relevant, increasing the chances of the recipients reading and acting on the information.

Close Gaps Before Sending Reports

Once the report is complete, look for any information gaps or unclear analysis. Your reader won’t keep coming back for further clarifications, potentially delaying important decisions or actions.

2. Vague Goals and Uncontrolled Scope Creep

Many projects are doomed from the start due to poor project planning. When you have unclear project goals, it is impossible to define success.

This ambiguity often leads to scope creep, where uncontrolled changes and additions bloat the project, consuming time and resources.

Clearly defined project objectives and deliverables, documented in a scope statement, are essential to keep everyone aligned and focused.

3. Poor Resource and Team Management

A project is only as good as its team, but without proper resource planning, even the best people can fail. A common mistake is poor resource allocation, leading to overloaded team members and gaps in capability.

You need to evaluate team skillsets to assign the right people to the right tasks. Establishing defined roles and responsibilities, for example, with a RACI chart, eliminates confusion and empowers individuals to execute their work well.

4. Failing to Plan for Risks

Hoping for the best is not a strategy. A lack of formal risk management leaves projects vulnerable to predictable problems.

Proactive planning involves conducting a thorough risk assessment to identify potential threats, such as budgetary, technical, or resource-related issues, before they materialize.

From there, you can develop contingency plans to mitigate their impact, turning potential crises into manageable issues.

5. Weak Project Governance and Lack of Process

Strong project governance provides the framework for all project activities, from communication to execution. Lacking this structure, teams often operate in chaos.

While standardized templates are a good start for consistency and avoiding common errors in project report preparation, governance is broader. It includes having a formal change control process to manage scope modifications and following consistent project methodologies.

An important part of this process is capturing lessons learned in a post-mortem to ensure mistakes are not repeated in future projects.

6. Too Much Data

We live in a data-driven world, and project management is no different. The right data aligns the team, improves decision–making, and drives success. However, just because you can track and report on every aspect of a project doesn’t mean that you should.

A common error in project report preparation is information overload, which will deter and confuse readers. Returning to the first point, your audience is time-short, so it’s best to use summary data with clear interpretations and recommended next steps.

What does a resource shortage actually mean? What’s needed to rectify the situation? Who is responsible for each task? Where possible, provide links to roll-up dashboards to allow readers to drill down further as relevant to them.

7. Not Using Project Reports

With the fast-paced nature of projects, we are all a little guilty of creating and sharing reports, which are consigned to the ever-growing pile of documents on our desks. If this happens often, why bother generating the report in the first instance?

Use reports as much as possible, for example, during one-to-one discussions with team members, team and stakeholder meetings, and at agreed intervals during execution.

These documents are also valuable for identifying which processes require improvement for future work.

8. Ignoring a Mistake

We’ve all been there – a report sent late or emailed to the wrong person. Incorrect or missing information. A typo on page one. Mistakes can and will happen. The worst mistake is pretending nothing happened or ignoring the root cause of the problem.

Reports are part of your communication toolbox; they help build rapport and trust with your team and stakeholders. Your response to a mistake will speak volumes about your leadership and respect for others.

If you do make a mistake with a report, the first step is to acknowledge the error and correct it. Don’t blame others or become defensive. Next, look for ways to prevent the mistake in the future.

Do you need to create a recurring calendar reminder to circulate the report on a given day? Should the team review and change how they provide information to you? Mistakes are a great learning opportunity, so make the most of them to demonstrate you are a proactive and trustworthy manager.

Build Trust with Reliable Reporting

Many project failures begin with unclear goals, missed risks, or poor communication. Strong governance, consistent reporting, and structured processes keep projects on track and give stakeholders the insights they need to act quickly.

BrightWork helps project managers and PMOs with ready-to-use templates, automated change control, and live dashboards in Microsoft 365 and SharePoint.

Project success depends on well-defined business processes and workflows. Businesses that document core processes – from project approvals and resource allocation to quality checks – reduce errors and accelerate delivery.

Workflows automate those steps, ensuring consistency and freeing teams to focus on value-adding tasks.

In this article, you will learn how to define, document, and automate processes to drive better project outcomes with Microsoft 365 and BrightWork.

What is a Business Process?

A business process is a set of steps that teams follow to achieve a goal, such as approving a project proposal, onboarding a new employee, or procurement. Every business relies on processes to get work done in the right order.

Business process management (BPM) refers to how a company creates, edits, and analyzes processes. These processes can be reviewed individually and together to fully understand their impact on the business.

By standardizing who does what and when, organizations improve consistency, reduce rework, and gain real-time visibility into work across teams.

Benefits of Business Process Management

Business processes help organizations to:

Standardize ways of working

Reduce errors and rework

Improve productivity

Respond quickly to customer requests

Streamline collaboration within and between teams

Approve projects and proposals easily

Ensure compliance with regulations

Improve risk management.

Key Characteristics of Business Processes

Let’s review five defining characteristics of a business process.

1. Duration

A business process has a fixed start and endpoint, along with a defined number of steps.

2. Repeatable

Business processes are repeatable and predictable. A business process can be executed multiple times by different people and deliver the same results. New employees are welcomed in the same way. New suppliers go through the same review process.

3. Value

A business process should add value to the organization, helping to improve productivity and efficiency across teams.

Every step of a business process must contribute to the overall success of that process when it is used. There is no room for unnecessary steps.

4. Improvement

Once defined, it’s easy to improve business workflows and optimize processes to improve outcomes, for example, reducing the time between a verbal offer to a new employee and sending the final contract.

5. Workflow Management Software and Tools

Documenting business processes requires end-user input. However, the modern ecosystem for automation extends beyond just BPM tools.

Dedicated workflow management software, such as SharePoint Designer, Power Automate and BrightWork 365, no-code platforms, and integrated collaboration tools are often used to bring these processes to life. As we’ll see below, workflows automate your business processes with little input needed from users.

A business process is not task management or project management. Task management is the key to project management, and projects are one-off endeavors.

However, business processes impact the ways of working and information flow, which in turn influence project outcomes. We’ll review this relationship in more detail later on.

6 Steps for Creating a Business Process

Developing a clear business process is important for maintaining consistent and efficient operations in your organization.

A structured approach enables you to identify key activities, assign responsibilities clearly, and spot areas for improvement. Use these seven steps as a practical guide to document, test, and refine your processes effectively.

1. Pick one process

Choose a high-impact process that occurs regularly, such as new project requests or invoice approvals. Think about the purpose of the process, why it was created, and the measurements of success.

2. Document the steps

Next, note the main steps and tasks of the process. Begin with a simple list of tasks and outcomes, adding more as needed.

When documenting the process, it helps to:

Include the trigger and end events. When does this process begin and finish?

Identify who owns each step or task.

Check for data points used in the process.

Note any forms used to input information.

Once you’ve completed the first draft of the process, ask end-users for their input to make sure you’ve covered the main steps.

3. Test the process

Review the draft map with stakeholders and end-users to confirm accuracy. Make notes about the process, especially any ideas for improvements or questions about particular steps.

4. Automate and optimize

Use Power Automate workflows with SharePoint to streamline handoffs and approvals.

5. Share the process

When ready, share the newly documented process with your team to test and gather feedback.

6. Repeat as needed

Repeat this approach as needed for existing and new processes. Creating a visual representation of the process is the final step. A workflow diagram or flowchart maps task dependencies, clarifying the sequence for all team members and making the process easier to follow.

For extra clarity, use Business Process Modeling Notation, an internationally recognized series of shapes and symbols.

Having covered the basics of business processes, it’s time to learn more about workflows, a tool for completing processes.

What is Workflow?

A workflow is an automated sequence that executes the steps defined in a business process. Think of business processes as strategy, with workflows as the practical instructions for delivering that strategy.

Workflows enforce the correct order of tasks – sending notifications, collecting approvals, updating status – often with zero manual intervention.

In Microsoft 365, you can build workflows with BrightWork 365 or Power Automate to ensure projects move smoothly from initiation to completion. Workflows have four key characteristics worth noting.

1. Steps

Workflows follow a series of predefined actions aimed at completing an action. Steps can be linear (completed one after the other) or parallel (executed at the same time).

2. Time

Workflows have a fixed duration and are triggered by a particular event, for example, logging a new project task.

Workflows can run at any time and as often as needed. Typically, workflows are linear; users move forward from one step to another.

3. Repeatable

Like a business process, workflows are repeatable and deliver consistent results.

4. Measurement

Workflows are measured by completion rate, particularly when using automation software.

Workflows are made up of four elements. Let’s take a closer look at each component using the example of a vacation request.

Actors – people or software responsible for the task. In this instance, a team member needs to submit a vacation request, and a team manager is responsible for reviewing this request.

Activities – the task that is performed, often represented as a step. Here, this includes logging the vacation request using a form in an online portal.

Results – the desired outcome of each step, i.e., the request is approved or rejected.

State – the movement between steps. In this case, the request moves from ‘new’ to ‘approved’ with just a few clicks.

Workflows are key to executing projects. By automating key elements such as gathering feedback on a document and task tracking, you can streamline administrative tasks.

This creates more time to focus on the project itself! Workflows standardize project work, helping to keep everyone on track with their work.

Of course, workflows can be used in any part of an organization at any time, not just during projects. It’s likely you are using workflows every day without realizing it!

So far, we’ve covered business processes, workflows, and how these two elements work together. As mentioned above, both business processes and workflows can influence project outcomes. Let’s take a closer look at this.

How Processes and Workflows Support Projects

A project is a temporary, one-off endeavor with a specific goal, scope, budget, and deadline.

Well-defined processes set the environment for project tasks, and workflows automate routine project steps, like change requests, document reviews, and status updates. Together, they ensure teams move efficiently from project planning through delivery.

The following are a few examples of business processes with direct impact on project outcomes:

New project request management, which defines a process for reviewing and approving new projects.

Gathering requirements

Document approval

Risk management

Resource management.

General processes such as vacation requests and new vendor selection can also help or hinder your projects.

How Workflows Impact Employee Performance

Well-defined processes and workflows improve accountability by clearly defining roles and responsibilities.

This clarity improves employee performance by reducing confusion and wasted effort. It also leads to better job satisfaction and helps prevent employee burnout by creating a more predictable and less chaotic work environment.

The differences between projects, processes, and workflows can be summarized as predictability, measurements, and optimization.

1. Predictability

When considering workflow vs. business process, both are based on repeatable, consistent steps towards an end goal. It doesn’t matter who uses a workflow or follows a process – the results will always be the same.

Projects tend to be more complex and unpredictable! While a project manager will develop a strong plan, it’s impossible to account for every unknown challenge that can arise during project execution.

As such, project teams need to be flexible, quickly responding to new priorities and requirements. Recurring projects are unlikely to face similar issues as previously completed projects, making every project new!

2. Metrics of Success

Completion is a key metric of success for business processes and workflows. Projects are often measured within the triple constraints – time, cost, and quality. Did the project deliver the desired outcome to a high standard, on schedule, and within budget?

The story of a successful project is complex, incorporating numerous metrics like issues, risks, open tasks, costs, and % Complete. To make this data actionable, teams should set specific goals and metrics for their workflows. Using dashboards to monitor progress and performance in real-time allows for data-centric decisions and continuous optimization.

3. Optimization

Another key difference between projects, processes, and workflows is optimization. Projects focus on delivering change, while processes and workflows enable ongoing improvement.

Project teams are tasked with creating something – a product or service – that will add value to the organization. Once the deliverable is complete, end-users can make improvements. This can lead to more projects, including specific workflow projects that refine these new processes.

After a project is finished, the team can use a post-mortem to document valuable lessons and suggest improvements for future projects.

Next Steps for Workflow Process Improvement

In this article, you’ve read about business processes and workflows, and how these elements can influence project outcomes.

To recap, a business process is a set of steps performed by an individual or a group of individuals to achieve a goal. A workflow is a set of instructions for executing these steps, frequently relying on automation to reduce errors.

Starting with the approval process through to resource management and supplier contracts, business processes and workflows can streamline projects. After all, teams want to get to work quickly and shouldn’t have to reinvent the wheel for every project task!

If you are consistently struggling to deliver project outcomes, take a look at the supporting business processes and workflows.

Steps to Improve Workflow Efficiency

To enhance workflow efficiency, you should conduct a detailed workflow analysis of your current procedures. This involves identifying bottlenecks and areas for improvement. Based on this analysis, consider these actions:

Invest in a business process management tool if manual methods are causing delays.

Ensure end-users fully understand how to use existing processes and workflows.

Document any new processes required for your projects.

Improve existing workflows with automation where possible.

Determine if your project team needs additional, specific workflows to succeed.

In the past few years, remote and hybrid working has emerged as one of the major trends. This work style has pushed team leaders to identify new methods for project communication and collaboration.

To understand the benefits of Microsoft Teams in the workplace, it’s important to see how it moves beyond traditional methods of project collaboration, which are no longer feasible.

Microsoft Teams centralizes chat, file sharing, video calls, and scheduling within the Office 365 environment. Below are twelve practical ways Teams streamlines teamwork and boosts productivity across your organization.

1. Organize Your Workspace with Strategic Channels

Structuring your digital workspace is a great way to improve employee collaboration. Microsoft Teams allows you to create dedicated channels for specific projects, topics, or departments, keeping conversations focused and organized.

For sensitive discussions, you can use private channels, limiting access to only invited members. These collaboration methods used by work teams ensure that information is both accessible to the right people and secure from others.

2. Centralize Documents and Team Chat

The team collaboration chat feature in Microsoft Teams is the most frequently used. You can centralize all project files directly in Teams for one-click access. Pin key documents at the top of each channel so everyone can find briefs, style guides, or reference files without switching apps. Using chat or channel tabs for sharing attachments helps keep files organized and prevents version confusion.

3. Streamline Communication with Shortcuts and Alerts

Efficient communication is a priority. Teams helps you cut through the noise with powerful features. You can use slash commands like /goto to quickly jump to a specific team or channel. When a message requires immediate attention from your Microsoft teammates, you can mark it as one of your urgent messages, which sends repeated notifications until it’s read.

4. Run Effective Virtual Meetings

Start or join video meetings in one click with Meet Now or scheduled calls. Once the call has started, you can share your screen or individual windows to walk through presentations and documents together.

This once again saves you the hassle of handling multiple platforms at once – one for video calls, one for chatting, and another for sharing all the required documents. All calls and shared content remain within your secure Office 365 tenant.

If you’re looking for efficiency and a platform that addresses collaboration in the digital age, especially in today’s work-from-home and hybrid working environment, this is the tool for you.

Enhance Meetings with Advanced Features

Teams also offers advanced features to boost engagement. Together Mode places participants in a shared virtual space, like an auditorium, to reduce meeting fatigue and make meetings feel more connected. You can also use fun or professional virtual backgrounds to maintain privacy and professionalism.

For accessibility and record-keeping, the platform provides live transcripts during the meeting, and you can access full meeting transcriptions afterward to review discussions and action items easily.

5. Integrate Apps for Seamless Workflows

Add tabs for Excel, Planner, or OneNote within any channel and work directly in Teams. Connect Power BI dashboards to view reports without leaving your workspace.

You can even use Microsoft Planner as an extra tab in Teams, which – you guessed it – allows you to plan and schedule work, meetings, and deadlines. It also informs you when certain work commitments overlap with others and notifies you about any upcoming projects that are due soon.

With OneNote and SharePoint integrated with Microsoft Teams, importing and exporting information is seamless.

Turn Messages into Actionable Tasks

A key part of using Microsoft Teams for collaboration is its ability to connect conversations to actions. For instance, you can directly turn messages into tasks in Microsoft Planner without leaving the chat, and create shared checklists using Loop components.

There are countless project management apps for teams that connect with over 200 Microsoft and third-party apps to give you a seamless work experience. This includes Salesforce, Trello, and Adobe Creative Cloud, as well as social media apps like Twitter and LinkedIn. It’s a fully customizable collaboration platform.

6. Utilize a Cost-Effective Solution

Access Teams at no extra cost if you already have an Office 365 subscription. Teams replaces multiple standalone chat and meeting platforms, reducing duplication and lowering overall collaboration expenses.

7. Boost Cross-Departmental Communication

We all know that numerous projects in business require different departments within a company to collaborate with one another.

Utilize organization-wide teams and channels to keep stakeholders informed beyond your department. @mention groups or tags to loop in cross-functional members.

Share company announcements or policy changes in a “General” channel to keep everyone aligned. BrightWork 365 and Teams integration simplifies collaboration between teams and improves business communication in company projects.

8. Enable Collaboration from Anywhere

One of the most important features any collaboration platform needs to have today is a good mobile app.

Download the Teams app for iOS and Android to respond to chats, join meetings, and approve tasks on the go. It’s much more than just a useful chatting app on your phone, too.

You can manage security, change permissions, and control how employees use data through it.

9. Stay Updated with Your Activity Feed

The activity feed is one part of Teams that perhaps people find most useful. When you first log into the platform at the start of the workday, you will be able to see a summary of just how much work you have scheduled.

Review your Activity feed to see mentions, replies, and upcoming meetings in one view. Filter by unread, Mentions, or Likes, and use the Filter icon to focus on high-priority notifications.

10. Collaborate Securely

Rely on enterprise-grade security with two-factor authentication, firewall protection, data encryption in transit and at rest, and compliance with ISO 27001, SOC 2, and GDPR. Use sensitivity labels and built-in data loss prevention policies to protect confidential project information.

These make it easy for you to ensure that all your data is secure in a company policy-compliant way, and allow for worry-free collaboration and data sharing.

Of course, some of the burden to ensure data security also falls on you, like making sure all of your employees use the multiple-factor authentication feature to avoid their accounts being hacked.

11. Use Automation and AI for Smarter Collaboration

Improve your collaboration by using automation and AI capabilities, which help create a better workplace collaboration experience. You can connect Teams to Power Automate to create custom workflows, such as automatically posting a message in a channel when a new file is added to a SharePoint folder.

With the introduction of Copilot in Teams, you can get AI-generated summaries of meetings you missed, complete with action items, making it easier than ever to stay in the loop.

12. Access Features Suitable for Remote Working

Since 2020, Microsoft and other collaboration platforms have ensured that it is the best tools to use for remote workers.

With meetings being scheduled with ease and the platform itself being available on multiple devices, you can see how effective communication in Teams is built for remote project management.

Turning Team Collaboration into a Competitive Advantage

Microsoft Teams centralizes project communication, collaboration, and reporting within Microsoft 365. Teams is especially effective in hybrid environments, where consistent communication, shared access to information, and real-time task visibility are essential.

Features like channel organization, document pinning, and AI-driven workflows make Teams adaptable without becoming complex. If you’re managing day-to-day communication or coordinating cross-functional projects, Teams provides the foundation for a focused, connected workspace.

Effective Change Management Accelerates Team Adoption

Introducing a new project management tool is not just a technical upgrade – it’s a cultural shift. Effective IT change management ensures teams transition smoothly, minimizing resistance and accelerating adoption. By clearly communicating the benefits of a tool like BrightWork 365, project leaders can align employees with the organization’s vision and highlight how the software supports project success.

A structured approach to change management in project management helps teams move from uncertainty to confidence, creating a positive environment where new tools are embraced rather than resisted.

Change Management Framework for Project Teams

A well-defined change management framework provides a roadmap for adoption, addressing the “what’s in it for me?” question every team member asks. By involving employees early, listening to feedback, and celebrating milestones, organizations can foster trust and ownership. This structured approach ensures that software adoption feels like an opportunity to improve – not a disruption.

Strong Leadership Drives Successful Tool Adoption

Leadership plays a critical role in shaping how teams perceive and use new project management tools. Leaders set the tone for collaboration and ensure employees feel supported throughout the transition.

By adopting the right leadership styles in project management, managers can demonstrate effective leadership strategies that motivate teams, reinforce commitment to the new tool, and encourage long-term adoption.

Improving Team Communication

Clear, consistent communication is key to overcoming resistance. Leaders should articulate the purpose of the new tool, set expectations, and regularly reinforce how the software helps individuals and the organization. Open forums for questions and feedback further build trust and transparency – critical elements of enhancing employee engagement.

Employee Engagement Framework

When employees feel included in the rollout process, they are more likely to adopt and champion the tool. A structured framework for employee onboarding and engagement featuring workshops, surveys, and recognition programs ensures team members feel valued and supported during the transition.

Employee training is often the difference between reluctant adoption and enthusiastic usage. Without proper project management training, employees may default to old habits or underuse the software. Structured programs provide confidence and competence, reducing resistance and improving productivity.

Role-Based Training for Project Management Teams

Not every team member needs the same training. Role-based training tailors instruction to specific responsibilities, ensuring project managers, executives, and team members learn what’s most relevant. This targeted approach accelerates adoption and reduces frustration.

Best Practices for Onboarding Teams to a New Project Tool

Successful onboarding is about more than a one-time session. Effective strategies include guided walkthroughs, peer mentoring, and software onboarding checklists. Providing accessible project management 101 training ensures that all team members adapt quickly and effectively regardless of experience.

Ongoing Training for Long-Term Tool Adoption

Adoption doesn’t end after rollout. Continuous learning programs, refresher sessions, and advanced workshops keep teams engaged. This ongoing employee training ensures the tool remains a central part of project execution.

Automation reduces friction, making it easier for teams to embrace new tools. By streamlining repetitive tasks and improving collaboration, automation demonstrates immediate value to employees, encouraging long-term use.

Automation is also a key component of project management automation, helping teams save time and focus on meaningful work.

Process Automation for Efficiency

Automating routine tasks such as status updates, reminders, and approvals reduces manual effort and frees up time for strategic work. This type of process automation improves productivity and enhances user satisfaction with the new tool.

Digital Transformation Initiatives

When part of a broader digital transformation strategy, a project management tool becomes more than software it becomes a driver of organizational growth. Aligning the tool with strategic objectives accelerates adoption across teams and departments.

Project Collaboration Tools for Teams

Collaboration is at the heart of successful projects. Integrated project collaboration features such as shared dashboards, task assignments, and real-time updates make teamwork seamless. Modern project collaboration tools simplify coordination, build accountability, and enhance cross-functional teamwork.

Pairing Power BI with SharePoint transforms project and portfolio reporting into a structured, real-time experience inside your Microsoft 365 environment.

BrightWork enables project managers, executives, and PMOs to move from reactive updates to proactive planning; all within a familiar Microsoft toolset.

For companies managing projects in SharePoint, this combination offers a straightforward way to get better visibility and control. Project managers, executives, and PMOs can shift from putting out fires to planning ahead, all inside the familiar Microsoft ecosystem.

This article explains how the Power BI and SharePoint integration solves common reporting problems and gives you a complete picture of project health.

Why Traditional SharePoint Reporting Creates Bottlenecks

Many project managers and PMOs who rely solely on SharePoint struggle with limitations in reporting visibility and control.

These issues can slow down decisions and hide important performance trends by introducing the following roadblocks:

Manual Data Consolidation

Project information is often scattered across multiple sites, lists, and spreadsheets. Teams must manually copy and paste data, which consumes valuable hours that could be better spent on project strategy.

Lack of Real-Time Visibility

Reports are typically snapshots pulled weekly or monthly, meaning decisions are based on outdated information. This delay leads to slow reactions to new risks and missed opportunities to correct a project’s course.

Difficulty in Portfolio Oversight

Getting a clear, combined view of the entire project portfolio is a constant struggle. This makes it challenging to assess portfolio health, identify dependencies, or analyze resource allocation at a high level without extensive manual work.

Unifying Project Data with Power BI and SharePoint

Integrating Power BI with SharePoint, both Server and Online, is a strong solution to these reporting headaches. It creates a single source of truth by linking dynamic visualization tools directly to your project data.

Instead of exporting data, this direct connection enables continuous reporting. BrightWork’s pre-configured Power BI Pack ensures SharePoint On-Premises users can centralize project data without custom builds.

Centralizing Project Information

This integration works by connecting Power BI directly to your SharePoint lists and libraries. These lists become a live data source for all your project and portfolio details, from task deadlines and budgets to risks and issues.

Instead of exporting data, the connection gives you direct and continuous access. For organizations using SharePoint on-premises, the BrightWork Power BI pack for SharePoint On-Premises provides a pre-configured solution to set up this central data hub without a lot of setup time.

From Static Lists to Interactive Visuals

SharePoint lists are great for collecting data, but they don’t offer much for visualization. Microsoft Power BI turns this raw data into rich, interactive dashboards. Users can go beyond static tables and work with dynamic charts, graphs, and maps.

These visuals enable stakeholders to filter information, drill down into specific details, and view project metrics from different angles. This interaction helps find trends and insights that would stay hidden in a standard list.

Automating Report Generation

A huge benefit of the Power BI and SharePoint integration is automated report generation. You can schedule data refreshes at set times, such as daily or hourly.

For SharePoint Server, the On-Premises Data Gateway encrypts data during transfer to Power BI. This ensures on-prem data remains secure and up to date within cloud-hosted dashboards.

The BrightWork Power BI Pack – A Ready-to-Use Solution

BrightWork Power BI Pack eliminates the need to build custom dashboards from scratch. With ready-to-use templates for SharePoint On-Premises or Microsoft 365, teams can start visualizing project and portfolio data instantly.

It includes a set of ready-to-use dashboards and reports made specifically for project and portfolio management in SharePoint.

Pre-Built Project Dashboards

The pack comes with a collection of Power BI Reports designed for common project management needs. These dashboards are ready to go, letting project managers quickly visualize project status, timelines, and workloads.

This means you can skip a long development process and get immediate value for your project team.

Comprehensive Portfolio Reports

For PMO leads and senior executives, the pack offers reports that give a high-level view of the entire project portfolio. These dashboards pull together data from all projects, making it simple to:

Monitor overall portfolio health

Track performance against strategic goals

Spot system-wide issues

This complete oversight supports better strategic planning and resource management across the company.

Customizable to Your Needs

Every organization has its own reporting needs. While the BrightWork Power BI Pack is ready to use out of the box, it is also fully customizable.

With help from our expert Power BI consultants, the dashboards and reports can be adjusted to match your specific business processes, KPIs, and branding. This flexibility ensures the solution perfectly fits your organization’s requirements.

Visualizing Project Health and Timelines

The BrightWork pack provides specific project-level dashboards that give project managers the detailed views they need. These visualizations make it easy to:

Track progress

Spot potential problems

Communicate status to stakeholders

Each dashboard surfaces key insights with drill-down filters, helping project managers answer critical questions around budget, schedule, risk, and project health.

The Project Timeline Dashboard

This dashboard shows a clear, Gantt-like view of the project schedule. It visualizes important tasks, milestones, and their dependencies over time.

Project managers can quickly see the critical path, find potential scheduling conflicts, and track progress against the plan. This visual layout of the schedule is much easier to interpret than a simple list of dates.

The Project Status Report

The Project Status Report is a one-page summary that shows the overall health of a project. It brings together primary performance indicators (KPIs) for budget, schedule, workload, and open issues into a single, easy-to-read format.

This report is perfect for stakeholder updates because it gives a quick but thorough assessment of where the project is, without getting lost in the details.

The Active and Late Items View

To keep things moving, project managers need to stay on top of overdue tasks. This report helps by highlighting all active and late work items across their projects.

It lets managers quickly see which tasks are falling behind and find potential bottlenecks before they affect the schedule. This focused view supports proactive problem-solving and helps keep the project on track.

Achieving High-Level Portfolio Control

The BrightWork Pack includes interactive portfolio dashboards that allow executives to filter by department, status, or strategic alignment, making performance reviews faster and more informed.

The portfolio-level dashboards in the BrightWork pack give leadership the consolidated oversight needed for effective governance and smart decisions.

The Portfolio Timeline View

Much like the project timeline, this report shows the schedules of all projects in the portfolio on one timeline. This combined view is great for spotting dependencies between projects and potential resource conflicts.

For example, leaders can see if multiple high-priority projects have major deliverables due at the same time, allowing them to make adjustments ahead of time.

The Consolidated Portfolio Status

This dashboard rolls up the health indicators from every project into a single, high-level summary. It gives executives a quick read on the overall health of the portfolio, using color-coded indicators for status, budget, and schedule.

This allows leaders to instantly spot projects that are in trouble and need attention, without having to dig through individual reports.

Filtering for Specific Insights

The real advantage of these portfolio dashboards is their interactivity. Executives and PMO leads can filter the reports to get specific information.

For instance, before a departmental review, a director can filter the portfolio dashboard to show only projects in their department. Project manager, status, or any other custom metric can also filter dashboards.

This makes strategic meetings more productive and data-driven. To see these features in action, watch our on-demand webinar, SharePoint Project Reporting with Power BI.

How to Embed Power BI Reports in Your SharePoint Site

Once your reports are ready, embedding them into a SharePoint page gives your team easy access. Displaying a report on modern SharePoint pages is a simple, three-step process:

1. Publish Your Report

After creating your report in Power BI Desktop, publish it to the Power BI Web Service. This action makes the report available online and provides the options needed for sharing and embedding.

2. Generate the Embed Code

In the Power BI Service, open the report and navigate to the File menu. Select “Embed report,” then choose the “SharePoint Online” option to create a secure URL for embedding.

3. Add the Web Part

On your SharePoint page, enter edit mode and add the “Power BI” web part. In the properties pane, paste the report URL you copied to display the interactive dashboard directly on the page.

Ensuring Your Project Data Remains Secure

Integrating important business platforms naturally raises questions about data security, particularly with sensitive project information. The SharePoint and Power BI integration is built with security in mind, respecting the permissions and controls you already have.

SharePoint Server Security Features

Your data’s first line of defense is the solid SharePoint Server security model. Permission levels control access to sites, lists, and items.

Power BI respects SharePoint’s native permission levels. Viewers only see data they are authorized to access, ensuring reports remain secure and compliant with Microsoft 365 governance standards.

Power BI’s Data Protection Layers

Power BI adds its own layers of protection. A main feature is row-level security (RLS), which lets you limit data access for certain users based on their roles.

For example, a project manager could be set up to see only their own projects in a portfolio dashboard. Additionally, Microsoft provides comprehensive Power BI security through data encryption at rest and in transit, all supported by the security of the Microsoft cloud.

Secure Data Gateway for On-Premises Data

For organizations using SharePoint Server, a secure connection to the cloud-based Power BI Service is vital. This is done using the On-Premises Data Gateway.

The gateway acts as a secure bridge, encrypting and transferring data between your on-premises SharePoint environment and the Power BI Service. It ensures your project data remains protected as it moves to the cloud for reporting.

Evolve Your Reporting with BrightWork 365

Microsoft 365 and Power Platform are a great fit for the project and portfolio management needs of many organizations.

Leveraging Microsoft 365 and Power Platform for project management centralizes all information in one place for better collaboration, visibility, and reporting, making it a viable project management software.

When combined with features such as its configurability, document management, workflows, and permissions, it can be transformed into a robust project management solution.

6 Microsoft 365 Capabilities for Project Management

Microsoft 365 and Power Platform are both powerful collaboration platforms well-suited for project management. Here are six key capabilities that demonstrate their fit for managing projects and portfolios.

1. Create a low-code or no-code project site in seconds

You don’t need to be a web designer or coder to create a collaborative workspace for your project team.

Simply create a new project management apps in Power Apps using visual drag-and-drop interfaces and pre-built templates with minimal or no coding.

With Power Platform design tools or other development solutions, businesses can create custom workflows, forms, and applications that align with their project management processes.

2. Create New Site Templates

You can save a customized project apps as a new template. Using Power Platform capabilities like these enables standardization across your projects.

You can save and reuse the template as much as needed and share the site very easily with colleagues.

3. Use free and paid project management templates

When I say “templates“, I’m not just referring to entire project app sites, but also more granular, individual aspects such as the forms that make up your apps. One such example is the ‘Issues List’.

A solution like BrightWork 365 makes site creation even easier and quicker with pre-configured templates. BrightWork 365 Form Configuration is an easy way to update an existing template and roll out these changes to multiple sites at once.

4. Advanced Project Document Management (DMS)

You can integrate a SharePoint Online document library into your project apps.

A SharePoint document library is more than just a simple file storage. It functions as a complete document management system (DMS) for your projects.

This deceptively simple feature not only improves team collaboration; it also centralizes key information in one place, eliminating silos and duplicate documents.

You can even start with a pre-built SharePoint document management system template to accelerate setup. With a document library, you can:

Add, edit, delete, and download project documents.

Manage access to files, folders, or a library.

Track the activity on a file, including the last modification, which creates a complete audit trail.

Set up alerts to track changes to a document.

Define content types for specific documents, like a “Risk Log” or “Project Charter,” each with its own unique properties.

Use metadata tagging to make documents easily searchable and organized.

Create a custom view of a document library.

Share files or folders with others.

Use version control to restore overwritten data and track the history of a document.

Co-edit files in real-time.

Metadata, filters, views, and search ensure your team and stakeholders can find the right information with just a few clicks.

5. Automate Tasks with Workflows

No Power Platform functionality list would be complete without the mention of workflows with Power Automate.

BrightWork 365’s workflow automation built on Power Automate empowers project managers to automate task assignments, approvals, and status updates without custom coding.

Power Automate provides out-of-the-box connectors and templates that enable users to quickly create automated flows between apps and services..

6. Ensuring Project Security and Compliance

Microsoft 365 provides robust security features through Entra ID, including granular permission settings and access controls essential for maintaining compliance with internal governance and external regulations.

Project managers can define user roles and permissions to ensure that project information is shared with the right people while maintaining data confidentiality and integrity.

Key features include applying retention policies to project artifacts, using data loss prevention (DLP) to avoid improper sharing of sensitive data, and implementing granular access control on specific document libraries or even individual items.

Elements of a Simple Project Management Process

The Project Management Institute (PMI) defines project management as ‘the application of knowledge, skills, tools, and techniques to project activities to meet the project requirements.’

Projects are typically managed in phases. As teams work through each phase, they’ll use processes and reporting to keep work on track.

Project Management Processes

Processes define ways of working, such as task management and risk management. Processes depend on the size and complexity of the project, the experience of the team, and particular project methodologies.

For example, some industries, such as construction and engineering, require detailed processes for safety management on Microsoft 365.

At BrightWork, we use the spectrum below as a starting point with our customers. As the project moves into execution, you can add or remove processes as needed.

Project Management Reporting

In project management, we need lots of reporting to know where we are and where we are not! Project reports should be easy to create and share, and update in real-time. Effective project reports are essential for tracking progress and guiding decisions.

Different people on the team will need to see different information to contribute successfully:

Stakeholders need reports to track progress and deal with risks across projects and portfolios in a timely manner.

The team relies on reports to find and do work, raise issues, and stay up-to-date with the project.

Project managers use reports to track tasks, risks, budget, and timelines on a daily, weekly, and monthly basis.

It’s also important to facilitate cross-project and portfolio reporting, and visual elements such as Gantt charts.

Project Document Management

Project documentation should be clear, up-to-date, and easily accessible at any time.

Project documents help to:

Create a single, accurate record of project work.

Simplify reporting with all information in one place.

Prevent misunderstandings with clear descriptions of individual roles and responsibilities.

Improve project team collaboration.

Managing project documents requires capabilities such as real-time co-editing, secure sharing, and version control.

Project Collaboration

Bringing project participants together is essential for connection to processes and reports. With the rise of remote and hybrid teams, teams need an easy way to communicate, collaborate, and share information.

Project Management Evolution

As teams become more confident with projects, they’ll likely want to take on bigger or multiple projects. Processes will change as maturity levels grow.

5 Steps to Manage Your Project Management Process in Power Platform

SharePoint is a collection of tools designed to help organizations build intranets, manage documents, and collaborate in a secure environment. When it comes to project management, useful SharePoint features and functionality include:

Sites for individual projects

Document management and sharing

Lists for tasks, risks, and goals

Reports and dashboards

Workflows

Collaborative features like wikis and forums

Knowledge management software SharePoint capabilities

Security settings such as encryption and permissions.

The structure of a SharePoint site – lists, web parts, sites, and site collections – lends itself to project management. Let’s see how the process outlined above maps to a SharePoint site.

1. Manage Processes with Forms in your application

Power Apps forms organize information with control and flexibility. Common forms track tasks, documents, and issues.

The Tabs, Sections, and Columns, helps you deliver the right amount of project management rigor required for your team.

You can configure the tabs (forms) used in your app using the project management spectrum mentioned earlier.

2. Create Reports with Power Apps

A Power Apps charts can report on lists of information (like Work Reports or Project lists) and are particularly useful for reporting dashboards.

The chars provides a view into a list, for example, for project tasks on the project homepage links to the underlying task list.

3. Document Library

Set up document libraries to centralize project files and support collaboration.

4. Collaborate in a Team Site

A project management Power Apps brings the Forms, Columns, libraries, and Tabs together in one central location. From here, your team can find documents, track work, and collaborate – regardless of location or time zone.

5. Manage Portfolios with Site Collections

Using Power Apps, you can also create portfolios and programs, which is a collection aggregates multiple project sites into a project portfolio. This structure creates a comprehensive document management system for project portfolio management.

Designing Modern Site Architecture

A well-planned site architecture is important for success. For example, hub sites can connect multiple project sites to create a unified portfolio dashboard, while communication sites are ideal for broadcasting important updates to stakeholders.

Consistent naming conventions across all sites and libraries help the portfolio remain organized and easy to navigate.

Using SharePoint Online and Microsoft 365 for Project Management

It’s worth noting that SharePoint has evolved, with newer versions available beyond SharePoint 2019 and SharePoint 2016, including SharePoint Online in Microsoft 365.

In addition to SharePoint Online, Microsoft 365 includes additional features, apps, and improvements that can all be leveraged for their project management capabilities.

Cloud vs. On-Premise Project Delivery Considerations

If your organization is moving away from on-premise SharePoint but would still like to manage your projects within the Microsoft ecosystem, then Microsoft 365 is a good place to start.

The considerations for cloud versus on-premises IT project delivery often come down to factors such as security requirements, existing infrastructure, and scalability needs.

Microsoft 365 Tools for Project Management

You can use:

Power Apps for project sites

Power BI for portfolio reporting

Power Automate to manage workflows

SharePoint Online for document management

Microsoft Teams for collaboration

Azure Active Directory for security and permissions.

In the first installment of this series, you saw how you can make a quick and efficient start in project management with BrightWork.

You also learned that, along with the centralized BrightWork 365 software, you get continuous assistance from your dedicated BrightWork Customer Success Partner (CSP) to help you apply our proven Start-Evolve approach.

This approach prepares you for quick adoption and solid implementation of project management while enabling you with a flexible and secure ‘evolve’ of your PPM journey.

First Evolve – Sample Project Management Success Review

After your initial deployment of project management with BrightWork 365, it is important to pause and reflect on the progress with review and feedback.

Conduct a project management success review to assess how your centralized PPM solution doing so far.

Again, we have a template for conducting your project management success review with the assistance of your dedicated customer success partner at BrightWork. At this stage, you revisit and revise your project management success strategy.

Factors Influencing Your First Evolve

Your first evolve will also depend on:

Your context

Your organizational and,

Project management goals.

What might your first evolve look like with BrightWork 365? The following sample of the first Evolve demonstrates (see video clip) three possible items from a sample feedback and backlog in a Project Management Success Strategy document.

Project Standard Template for additional project management

Project Structure Template for more advanced and complex projects

Power BI Dashboards for a more interactive project report

Project Standard Template

The first thing you might want to do is add a project that involves more project management. From ‘Status’ in Project Lite, you can now add other project elements such as Status Reports, Actions, and Issues.

Expanding Project Management Features

Expand your project management capabilities at this stage by evolving the features and capabilities of your centralized PPM solution as your processes also mature.

You might ask, “Why didn’t you deploy this earlier?’’ Well, of course, we could. But the strategy we’re sampling here is to get project teams up and running quickly.

Let them adopt and absorb the necessary project management processes in a standardized way, then move to the next stage when your deployment is set up and the people are ready for more.

Empowering Teams with Microsoft 365 Integrations

While you add more functions to BrightWork 365, you also get Microsoft 365 integrations. Deploy it directly in Microsoft Teams to collaborate with ease, even with your remote project teams. In Teams, you have channels where you can add project-specific chat and communications.

If you go to Documents, you will see all the project documents in the SharePoint Online library. This centralized storage makes your documents easily and securely accessible. Once uploaded, your documents become live and editable.

Automating Workflows with Power Automate

To further streamline processes, you can use Brightwork 365 with Power Automate.

This allows you to create automated workflows, for example, to manage a formal project intake and approval flow or send notifications for overdue tasks.

These and other project management capabilities can be configured easily in the Project Standard Template without programming.

In the two examples above, you are setting up a centralized project portfolio system by leveraging the Microsoft 365 platform and familiar apps.

Project Structured Template

The Project Structure Template builds on the Project Standard Template with additional project management items such as Risks, Costs, Communications, Issues, Actions, and Status Reports.

The Costs list facilitates active cost management, enabling real-time budget tracking against actuals and providing the data needed to report on financial performance and project ROI.

Risk Management and Governance

Similarly, the Risks list supports a formal risk management process, where teams can identify potential threats and plan risk mitigation strategies.

This structured approach to managing risks and costs establishes stronger project governance, and stage-based templates can be configured to enforce required gate approvals before a project can proceed.

Advanced Scheduling with Gantt Chart

To check the performance of your projects, the template includes a Gantt chart for advanced scheduling. It allows you to define task dependencies (e.g., finish-to-start), which enables more accurate critical path analysis and helps you track major project milestones to ensure that your project tasks are delivered on time.

Customized Project Schedules

In Project Settings, you can update the schedule to include the working days and exclude any holidays or breaks. You can decide the working days of the week based on the needs of the project and the local calendar using the global settings.

Power BI Dashboards

The third item in your first evolve is Power BI. You have the option to add centralized interactive solutions, like attractive, visually interactive Power BI charts.

Immediate Visibility for Executives

These dashboards give immediate visibility to senior executives as they can see all the projects and programs of their project portfolio in one place. They can view the health and performance of projects with just a few clicks.

Extending Reporting Capabilities

Beyond project health, these dashboards support resource management by allowing executives to visualize resource allocation across the portfolio.

This insight helps identify over-utilized teams to prevent burnout and uses resource usage data for future capacity planning.

You can also give them Power BI reports with data-rich insights to guide project and business decisions. These insights improve project prioritization by ensuring strategic alignment with business goals.

Unified Project Solutions

Because it’s Power BI, you can add your own and extend that level of reporting, creating a powerful PPM BI system.

For example (see clip), if I’m a senior manager and I click the yellow status on the dashboard, it immediately drops down to the three projects marked yellow or in danger, including the red ones that signal serious risk.

I can then get straight into those to view the details. Similarly, I can filter to see what projects are not yet started, and I have slicers up here, and so on.

Advancing Your PPM Strategy with BrightWork

We just saw an example of how a project team or PMO can gradually evolve their centralized PPM system with BrightWork 365 on Microsoft 365, progressing toward true portfolio optimization and successful adoption.

Support the first evolve by gathering feedback and conducting regular project management success reviews to refine your strategy.

Our sample introduced three key elements: the Project Standard template, the Project Structure template, and Power BI Dashboards, addressing the needs of project managers, teams, and senior leaders alike.

Prepare for the Next Evolve

In our next and final installment of this series, we will explore a sample second evolve, where we will be targeting the same audience: project managers, project teams, and senior managers.

This continued evolution aims to enable a long-term objective of evolving the PPM solution to a point where the data supports advanced techniques like what-if analysis for strategic planning.

With these elements in place, it’s easier for remote teams to stay aligned, be productive, and collaborate.

In this article, we’ll look at practical ways to use Microsoft 365 for remote project teams, including the following:

Task management with To Do, Planner, Lists, and Tasks for Teams

Collaboration tools, including Teams, Sway, Stream, and Microsoft Loop

Apps to support productivity and well-being while working remotely

Review of BrightWork 365, a project and portfolio management solution

1. Personal and Team Task Management

It’s fair to say that there are many ways to manage tasks in Microsoft 365. The challenge is picking the right option for the job!

Microsoft is working towards a unified vision for tasks in Microsoft 365, based on three principles:

Coherence – Task management will have a consistent experience across the Microsoft 365 ecosystem.

Intelligence – Users can leverage intelligent services like the Microsoft 365 Graph or MyAnalytics to manage and prioritize work.

Integration – Tasks are connected to one of two task-management apps: To Do or Planner. Tasks for Teams allows users to access both apps in one place.

Before we take a look at Microsoft 365 applications for task management, it’s worth noting:

The applications are cloud-based and work across various devices. This ensures remote team members can stay on track at all times with access to up-to-date information.

You can easily combine these applications with Power Automate workflows to save more time.

Personal: To Do

To Do manages individual tasks, both personal and professional. It replaces Wunderlist and syncs across iPhone, Android, Windows 10, and the web. Features include:

Lists and groups for task organization.

Prioritize tasks with the ‘My Day’ view.

Check tasks assigned in To Do or Planner.

Convert flagged emails into tasks.

Note: To Do replaces Outlook tasks for Microsoft 365 users. Task management for the desktop version of Outlook remains as is.

Team: Planner

Microsoft Planner is a visual task management application built on Office 365 groups. Using Planner, teams can plan and manage tasks as Kanban Boards with information on:

The task owner.

The task description.

Start and the due date.

Status (Not started, In progress, Complete).

Priority (low, medium, urgent).

Label (useful for filtering).

A checklist, a means to decompose a task into smaller steps.

Add attachments.

Managing Tasks and Views in Planner

Boards group tasks by bucket, such as project phase, workstream, or status. Once tasks are created, users can manage work in a few different ways:

View tasks as boards or as a calendar (schedule).

Drag and drop a task into different buckets as work progresses.

Use the ‘filter’ option to view tasks by due date or label.

Change the ‘group by’ view from ‘bucket’ to assigned to, progress, due date, or labels.

Work in Microsoft Teams by adding Planner as a tab to the relevant channel.

Planner helps teams track work progress independently. Each plan serves as a roadmap for a project, helping your team quickly understand progress and how their tasks fit into the overall picture. With this information to hand, remote team members can work independently and stay on track.

Planner is very intuitive and requires little end-user training. The application is ideal for light projects. However, the application lacks key functionality such as subtasks, project dependencies, and cross-project reporting.

Team: Microsoft Lists

Microsoft Lists is a stand-alone application and extends SharePoint lists. The application can be used in Microsoft 365, SharePoint Online, and as a tab in Teams. With Lists, you can:

Start lists from scratch, import Excel tables, or use templates like ‘Work Progress Tracker’.

Choose views: Grid, List, Gallery, Calendar.

Customize lists with conditional formatting, rules, columns, and views.

Team: Power Platform

You can improve task management by using the Power Platform. Power Automate lets you create automated workflows connecting different apps, such as sending a Teams notification when a Planner task is marked complete.

Power BI for project reporting provides data visualization tools. Teams can build custom reports and dashboards that pull data from Planner, Lists, and other sources for a clear overview of project progress.

One Tool: Tasks for Teams

Getting to grips with different task management options has become much easier with the recent rollout of Tasks for Teams.

This feature brings tasks from To Do and Planner together, allowing users to manage their tasks in one place – Microsoft Teams.

Tasks are grouped as My Tasks (To Do, Outlook, and tasks assigned to you in Planner) and Shared plans (Planner plans).

The Lists view allows users to edit and update tasks in bulk, a feature not available in To Do or Planner.

2. Collaboration and Content-Sharing

Good remote collaboration requires a central hub for files and communication. Before exploring specific communication tools, it is important to set up a system for file management.

Tools like SharePoint and OneDrive help with this. SharePoint often works as the company intranet, giving project teams centralized document libraries. OneDrive offers personal cloud storage that connects with the entire system.

Microsoft Teams

From real-time chat to video meetings and document management through SharePoint Online, Microsoft Teams is built for remote project management. It consists of:

Individual teams, a collection of people, conversations, and files, for example, a project.

Channels within a team. These are typically focused on a particular topic within a project.

A Central Collaboration Hub

Think of Microsoft Teams as a hub for collaboration, tasks, and documents with features such as:

Real-time chat and messaging

Video conferencing and meetings for up to 300 people

Live events for up to 20,000 people

Document storage

Real-time co-editing

Search

Whiteboards

Public or private channels

Robust security and privacy capabilities.

Teams suits daily stand-ups, planning, feedback, and onboarding. It also supports asynchronous communication, allowing members to read and reply at their convenience.

Removing the need to reply instantly reduces disruptions and creates an opportunity for everyone to get involved.

Remote Communication with Teams

Here are three easy ways to use Teams for asynchronous communication:

Keep important communication open and accessible with group Chats. Use one-to-one chats for individual or sensitive discussions.

Replace weekly status meetings with a weekly update in Chat. Ask team members to post a short update about completed and updated work, and any blockers they need help with.

Organize communication by topic or project area using Channels. This helps everyone find information quickly.

As you’ll see below, combining Teams with Sway and Stream creates more opportunities to keep your team informed and engaged.

Sway

Microsoft Sway is a free content creation tool for building and sharing newsletters, presentations, reports, and more!

It’s one of the leading free PowerPoint alternatives with interactive content. Features include:

Templates and drag-and-drop editing.

Import content from OneDrive, OneNote, and YouTube.

Mobile-optimized and accessible layouts: Vertical, Horizontal, Slideshow.

Add forms for polls and feedback.

While Sway does not integrate directly with Teams, you can add a link to Sway as a tab in the relevant team.

Stream

Microsoft Stream is a video platform for creating and sharing videos and is used to record video meetings in Teams.

It is the default video platform for Microsoft 365, unifying navigation, permissions, and governance, storing files on OneDrive and SharePoint. Stream allows users to:

Create a company-wide channel and channels for individual teams.

Customize a channel with company branding.

Hold live events.

Upload and share recordings.

Store and share Teams recordings.

Add the Stream App to Teams.

Stream videos will be treated as any other file in Office, helping users to discover, share, and manage videos easily. Access is based on Microsoft Entra ID (formerly Azure Active Directory), keeping your content secure.

Stream supports onboarding, updates, feedback, and knowledge sharing across time zones. Other features include transcription, facial detection, noise suppression, chaptering, analytics, and embedded forms.

Dynamic Co-Creation with Microsoft Loop and Visuals

For real-time brainstorming and co-creation, Microsoft Loop provides flexible collaborative workspaces. The platform’s main feature is its interactive components, like tables, task lists, and notes.

You can create these components in one app, for example, a Teams chat, and paste them into another while they stay synchronized. To support this work, remote teams often need to create visual assets.

Clipchamp offers accessible video editing, and Microsoft Designer helps generate professional graphics, which are both important for clear communication.

3. Productivity, Wellbeing, and Employee Experience

So far, we’ve looked at task management for individuals and teams and how to stay connected with remote team members using engaging content.

With these apps in use, collaboration and communication will be easier, clearer, and centralized in one place. Your team will have access to everything they need to complete tasks and support one another.

Now, it’s time to look at another important area for remote management: well-being. Constant change, working from home, worrying news cycles – these take a toll.

The Microsoft Viva suite is an employee experience platform that supports connection, purpose, growth, and wellbeing directly within the flow of work.

MyAnalytics and Viva Insights

MyAnalytics, now a part of Viva Insights, uses AI to track work patterns like emails and meetings. It helps users:

Find and eliminate distractions.

Attend the right meetings.

Automatically set aside ‘focus time’.

Log off during personal time.

The MyAnalytics dashboard is divided into four sections, each packed with practical tips relevant to that area:

Focus shows how much uninterrupted time you have each week.

Wellbeing tracks ‘Quiet Days, days without any major activity outside your working hours.

Network surfaces information about your network.

Collaboration shows how much time you spend in meetings, emails, chats, and calls.

Personal and Team Wellbeing

Viva Insights helps you improve your weekly calendar by reducing the number of meetings you attend or setting aside time blocks to tackle emails.

These personalized suggestions remain private and are not shared with managers or team members.

You can also work with your team to ensure they have enough time within working hours to complete their tasks and are respectful of each other’s free time.

Access your Viva dashboard through a browser, the Microsoft 365 app launcher, or within Outlook by connecting the two apps.

Expanding Employee Engagement

The Viva suite includes other modules to improve employee engagement. Viva Learning gathers training content from different sources into Teams, which makes upskilling more accessible for remote staff.

Microsoft Forms offers a simple method for gathering team feedback, conducting polls, or running quick surveys to monitor team morale and identify project challenges.

Depending on your Microsoft 365 subscription, additional features for Outlook (web) include setting an email delivery time and task reminders. You’ll find more details in this Sway experience from Microsoft .

4. Supercharge Your Team with AI and Copilot

A major development in Microsoft 365 is its integration of AI. Microsoft Copilot is an AI assistant embedded across apps like Teams, Outlook, and Word. For remote project teams, this means significant productivity improvements.

For instance, Copilot can create meeting summaries from a Teams call you missed or help with content creation by drafting project updates and emails.

It also enables an intelligent search that finds files and information by understanding context across your Microsoft 365 environment.
